COUNTY OF SAN MATEO

Inter-Departmental Correspondence

Employee and Public Services Department

DATE:

July 16, 2002

BOARD MEETING DATE:

July 30, 2002

TO:

Honorable Board of Supervisors

FROM:

Mary Welch, Employee and Public Services Director
Steve Rossi, Purchasing/Copy/Mail Services Manager

SUBJECT:

Agreement for Body Removal Services (Coroner)

Recommendation
Adopt a resolution authorizing the President of the Board of Supervisors to execute an agreement with Aponte Mortuary Transportation & Services for body removal services from August 1, 2002 through July 31, 2005, and for two additional one (1) year terms at the County's sole option, which if exercised by the County will extend the term of the contract through July 31, 2007.

Background
The Coroner's Office relies upon an outside vendor for the proper removal of bodies. The Coroner's Office currently has a temporary interim agreement with Aponte Mortuary Transportation & Services. A new invitation to bid (ITB) was issued, and Employee and Public Services determined that Aponte Mortuary Transportation & Services was the only qualified bidder and best served the Coroner's needs.

Discussion
On May 23, 2002, the Purchasing Division issued an ITB for body removal services. The ITB was advertised and 8 potential contractors were notified. One Vendor, Aponte Mortuary Transportation & Services, responded to the ITB. Employee and Public Services recommends the selection of this Vendor.

Vision Alignment
Awarding this contract to Aponte Mortuary Transportation & Services fosters the principal of vision point number 21: understanding, supporting, and integrating the County vision into the delivery of services.

Fiscal Impact
The County will pay seventy ($70) dollars per body removal for the first 1,200 bodies. Thereafter the rate increases to seventy-five ($75) dollars per body removed. A forty ($40) dollar charge will be added per body removal whenever a second attendant is needed. These charges will be paid from the budget of the Coroner's Office. In no event shall total payments for services under this agreement exceed $135,000.00
