SUBJECT:

Extension of Master Purchase Agreement with NextiraOne

Recommendation

Adopt a Resolution authorizing the extension of the Master Purchase Agreement with NextiraOne for two years from December 31, 2002 through December 31, 2004.

Background and Discussion

Your Board approved Resolution 63193 at our November 16, 1999 meeting authorizing NextiraOne, formerly Williams Communications, to provide telephone equipment and integration services to the County. This agreement was subsequently amended by Resolution 64959 to correct a typographical error. The proposed action would extend the purchase authorization for two additional years ending December 31, 2004. Prior to the Master Purchase Agreement, the County sought PBX support on a case by case basis. With three exceptions over a 15-year period, the County selected NextiraOne, formerly Williams Communications, as the provider. Extending the agreement allows the County to continue modernizing the telephone system with the same vendor that provided equipment and services for the recent upgrade.

Vision Alignment

The addendum to the agreement with NextiraOne keeps the commitment of: Responsive, effective, collaborative government and goal number 20: Government decisions are based on careful consideration of future impact, rather than temporary relief or immediate gain. This addendum contributes to this commitment and goal since NexitraOne and the County can continue modernizing the telephone system with the same vendor that provided equipment and services for the recent upgrade with no increase cost or integration issues.

Fiscal Impact

The amount of the existing agreement is $3,135,000. No new allocations are requested to support the proposed extension. Necessary funds are included in the Information Services Department's budget.

The memo, resolution and addendum have been reviewed and approved by County Counsel.
