Amendment #1 to the Purchase Order with DINEX/Carlisle

 

RECOMMENDATION:

Adopt a Resolution authorizing an increase of $1,000.00 in the amount approved for the purchase of a DINEX Cook-Chill System for a revised amount not to exceed $976,132, and extending the term of the Purchase Order through December 31, 2009

 
 

BACKGROUND:

On October 7, 2008, your Board approved Resolution 069738 which authorized the execution of a Purchase Order for the purchase and installation of a Cook-Chill System. Departmental modifications were required to accommodate the new Cook-Chill System and these modifications required State permits. This process lasted four months, rather than the usual thirty days.

 

DISCUSSION:

Between the date of approval and the delivery date of the equipment post site-renovation, the sales tax rate applicable to this purchase increased by 1%, causing a shortfall in the approved amount of the equipment total purchase price. An additional $1,000 is needed to pay the sales tax.

 

This Memo and Resolution have been reviewed and approved by County Counsel as to form.

 

Approval of this Amendment contributes to the Shared Vision 2025 outcome of a Healthy Community by providing food to patients that is maintained at accurate and appropriate temperatures to insure proper nutritional levels. It is anticipated that the Cook-Chill System will document the actual food temperatures which will satisfy all of the associated regulatory requirements.

FISCAL IMPACT:

The total cost of the overage is $1,000.00 and funds for this project are included in the San Mateo Medical Center 2009-10 Adopted Budget. Expenses at SMMC covered by fees for service or third-party payers whenever possible. The portion of expenses for services provided to the medically indigent or to those covered by programs that do not meet the full cost of care, are covered by the County’s General Fund contribution to SMMC.
